1. Purpose

Nexora English Academy is committed to delivering a reliable, professional, and student-focused learning experience. This Lesson Cancellation and Rescheduling Policy establishes clear procedures for cancelling or rescheduling lessons while ensuring fairness to students, tutors, and the Academy.

The policy is designed to minimise disruptions, maintain teaching quality, and support effective lesson planning.

2. Scope

This policy applies to:

  • Business English students
  • General English students
  • IELTS Preparation students
  • Corporate training participants
  • One-to-One lessons
  • Group classes
  • Online workshops and training sessions

3. General Principles

Nexora English Academy recognises that unforeseen circumstances may occasionally require a lesson to be cancelled or rescheduled. Wherever possible, both students and tutors are expected to provide sufficient notice to minimise inconvenience and maintain continuity of learning.

4. Student Cancellation Policy

Students may cancel a scheduled lesson by notifying the Academy through the approved communication channels.

Cancellation with Sufficient Notice

If a student cancels at least 24 hours before the scheduled lesson:

  • The lesson may be rescheduled, subject to tutor availability.
  • The lesson credit will normally remain available for future booking within the validity period of the course package.

Late Cancellation

If a student cancels less than 24 hours before the scheduled lesson:

  • The lesson will normally be treated as delivered and deducted from the student's lesson package.
  • Exceptions may be considered in cases of documented emergencies or other exceptional circumstances at the Academy's discretion.

5. Student No-Show Policy

A student who does not attend a scheduled lesson without prior notice will be considered a No-Show.

In such cases:

  • The lesson will normally be deducted from the student's lesson package.
  • The tutor will wait for up to 15 minutes after the scheduled start time for one-to-one lessons before ending the session, unless otherwise agreed.
  • Repeated no-shows may lead to a review of the student's learning schedule.

6. Tutor Cancellation Policy

If a tutor is unable to conduct a scheduled lesson, the Academy will make every reasonable effort to:

  • Notify the student as early as possible.
  • Arrange a suitable replacement tutor, where appropriate.
  • Reschedule the lesson at a mutually convenient time.
  • Ensure that the student does not lose any prepaid lesson credits.

The Academy apologises for any inconvenience caused by tutor cancellations.

7. Academy-Initiated Cancellations

The Academy may occasionally cancel or postpone lessons due to:

  • Technical system failures.
  • Tutor emergencies.
  • Public emergencies.
  • Severe internet disruptions.
  • Other exceptional operational circumstances.

Where this occurs:

  • Students will be informed promptly.
  • The lesson will be rescheduled or credited.
  • No lesson credit will be deducted from the student's account.

8. Rescheduling Lessons

Students may request to reschedule lessons by contacting the Academy in advance.

Rescheduling requests are subject to:

  • Tutor availability.
  • Timetable availability.
  • Course validity period.
  • Operational requirements.

The Academy will make every reasonable effort to accommodate suitable alternative lesson times.

9. Emergency Circumstances

The Academy understands that genuine emergencies may occur.

Examples include:

  • Serious illness.
  • Medical emergencies.
  • Bereavement.
  • Natural disasters.
  • Significant internet or power failures.
  • Other exceptional circumstances.

In such situations, the Academy may exercise discretion and consider waiving standard cancellation conditions where appropriate.

10. Technical Difficulties

If a lesson is interrupted due to significant technical problems affecting either the tutor or the student:

  • The tutor will attempt to reconnect.
  • Alternative communication methods may be used where available.
  • If the lesson cannot reasonably continue, the remaining lesson time may be rescheduled or credited at the Academy's discretion.

Students are encouraged to test their internet connection and equipment before each lesson.

11. Group Class Cancellations

Group classes follow the same cancellation principles, with additional consideration for other participants.

Where a group session is cancelled by the Academy:

  • A replacement session will normally be arranged, or
  • Appropriate lesson credit or alternative arrangements will be provided.

Individual student absences from group classes do not normally entitle the student to a separate replacement lesson unless otherwise specified in the course terms.

12. Corporate Training

Corporate lesson cancellations and rescheduling will follow the specific terms agreed within the corporate training agreement.

Where no separate agreement exists, this policy shall apply.

13. Communication Channels

Cancellation or rescheduling requests should be made through the Academy's approved communication channels, including:

  • Student Portal (where available)
  • Official Academy email
  • Approved messaging platform
  • Learning Management System (LMS)
  • Other officially designated communication channels

14. Responsibilities

Students

Students are responsible for:

  • Attending scheduled lessons.

Tutors

Tutors are responsible for:

  • Being punctual.

  • Maintaining fair scheduling procedures.
  • Supporting students and tutors.
  • Communicating changes promptly.
  • Recording cancellations accurately.
  • Applying this policy consistently.

15. Exceptional Discretion

The Academy reserves the right to make reasonable exceptions to this policy where exceptional circumstances exist and where doing so supports fairness, student welfare, and the Academy's educational mission.

16. Policy Review

This policy will be reviewed periodically to ensure it remains effective, fair, and aligned with the Academy's operational requirements and educational standards.
